CLASS BOOKINGS​

Terms and Conditions for Fitness Classes:
1. Non-Refundable and Non-Transferable Booking: Once you have booked a class, the booking is final. There are no transfers or refunds available under any circumstances.
2. Class Resale Option: If you are unable to attend a class, you may arrange to sell your spot directly to another class member. Please note that all transactions made in this way are solely between you and the other participant, and Paige takes no responsibility for these arrangements. If you do sell your spot, you must inform Paige of the new attendee's details.
3. Pre-Class Requirements: First-time participants are required to arrive 10-15 minutes early to complete the necessary Physical Activity Readiness Questionnaire (PAR-Q).
4. Punctuality: Classes begin promptly at the scheduled time. Late arrivals will be turned away and will not be eligible for a refund or rescheduling.
5. Clubbercise Class Requirement: To participate in Clubbercise classes, you are required to use official Clubbercise Glow Sticks. Alternative options will not be permitted. Glow Sticks are essential for taking part in the class unless you are unable to use them due to a medical reason.
6. Class Cancellations by Paige: In the event that Paige needs to cancel a class for any reason, you will be offered a credit to book a new class. This credit must be used within one month, after which it will expire. Paige will contact you to arrange a new booking, and you will need to provide a date for the rescheduled class. Once the new booking is confirmed, the credit will be subject to the same terms and conditions outlined above.
7. Code of Conduct
7A-1. Respectful Behaviour: All participants are expected to treat each other, as well as the instructor, with respect and courtesy. Any form of disrespect, harassment, or inappropriate behaviour will not be tolerated.
7A-2. Class Etiquette:
7A-2-A. Arrive on time and be prepared for class. Late arrivals may be turned away, as classes start promptly at the scheduled time.
7A-2-B. Silence or turn off mobile phones during class to avoid distractions.
7A-2-C. Follow the instructor’s guidance and instructions at all times to ensure the safety and effectiveness of the class.
7A-3. Dress Code:
7A-3-A. Participants should wear appropriate fitness attire, including proper footwear, to ensure safety and comfort during the class.
7A-3-B. For specific classes like Clubbercise, official equipment such as Glow Sticks must be used as outlined in the terms.
7A-4. Safety:
7A-4-A. Report any injuries or discomfort to the instructor immediately.
7A-4-B. If you feel unwell during class, stop exercising and inform the instructor right away.
7A-5. Disruptive Behaviour:
7A-5-A. Participants who disrupt the class or create an unsafe environment will be asked to leave. No refunds or credits will be issued in such cases.
7A-5-B. Continuous disruption or inappropriate behaviour may result in a ban from future classes.
8. Personal Belongings
8A-1. Responsibility for Belongings: Participants are responsible for their own personal belongings during class sessions. Paige does not provide storage facilities and cannot be held liable for any items that are lost, stolen, or damaged while on the premises.
8A-2. Valuables: It is advised not to bring valuable items to class. If you do bring valuables, please keep them with you at all times or store them securely at your own risk.
8A-3 Lost and Found:
8A-3-A. Any items found in the class area will be kept for a limited time. Participants can contact Paige to inquire about lost items, but there is no guarantee of recovery.
8A-3-B. After a set period of 14 days, unclaimed items may be disposed of or donated.
8A-4. Special Considerations: If you have specific needs regarding the storage of medical devices or essential items, please inform Paige in advance to discuss possible accommodations.
9. Photography, Social Media and Video Consent.
9A. By participating in the class, you acknowledge and consent to the recording of photographs and videos during the session. These recordings may be used for various purposes, including promotional and marketing activities. Your participation signifies your acceptance of the following terms:
9A-1. Consent to Recording: By participating in the class, you agree that Paige may take photographs and record videos of you during the class. These images and recordings may feature your likeness.
9A-1-A. You grant Paige the right to use, reproduce, modify, and distribute these photographs and videos in any media format, including but not limited to social media platforms, websites, promotional materials, and print media. You understand that these materials may be used for promotional purposes, including advertising and marketing, and may be shared with third parties for these purposes.
9A-1-B. You acknowledge that you will not receive any compensation or royalties for the use of your image or likeness in any media format.
9A-1-C. If you prefer not to be photographed or recorded, you must notify Paige before or at the start of the class. While every effort will be made to respect your request, Paige cannot guarantee that you will be completely excluded from media coverage.
9A-1-D. By participating in the class, you release and hold harmless Paige, its affiliates, employees, agents, and representatives from any and all claims, demands, or liabilities that may arise from the use of your image or likeness.
9A-1-E. Paige will handle all recordings and images in accordance with applicable data protection laws and privacy regulations. Your personal data will be protected and used solely for the purposes outlined above.
9A-1-F. If you wish to withdraw your consent at any time after the class, you must contact Paige in writing. While Paige will make reasonable efforts to cease further use of the recordings, you acknowledge that some materials may have already been published or distributed and cannot be recalled.
9A-1-G. If anyone is working with Paige at an event, including but not limited to affiliates, press, media personnel, or other third-party representatives, the same terms and conditions regarding photography and video recording will apply. This includes the right to take, use, and distribute photographs and videos as outlined previously. You acknowledge that any media or third-party personnel working with Paige will adhere to these terms and you consent to their recording and usage of your likeness in accordance with the established guidelines.
10. Liability and Risk
10A-1. By participating in any class, you acknowledge and agree to the terms related to liability and risk. Participation in fitness classes involves inherent risks, including the risk of injury, illness, or death, which you voluntarily assume. You are responsible for ensuring that you are physically and medically fit to participate, and it is advisable to consult with a healthcare provider before starting any new fitness program, particularly if you have pre-existing medical conditions or concerns.
10A-2. You must disclose any medical conditions, injuries, or relevant health information to Paige before participating in the class. Failure to do so may result in your exclusion from the class with no refund or transfer. By participating, you release,
10A-3. indemnify, and hold harmless Paige, its employees, agents, and affiliates from any claims, liabilities, damages, or expenses, including legal fees, arising from any injury, illness, or death related to your participation.
10A-4. In the event of an emergency, Paige will make reasonable efforts to assist, but does not assume responsibility for medical treatment, emergency response, or associated costs. You authorise Paige (to seek emergency medical treatment on your behalf if you are unable to provide consent and agree to cover any resulting costs.
10A-5. By attending the class, you confirm that you understand and accept the risks associated with physical activity and acknowledge your responsibility for your own well-being and safety. You agree to release and indemnify Paige from any claims or liabilities for injuries or damages incurred during the class, including those arising from negligence.
10A-6. Emergency Contact and Medical Information
10A-6-A. You are expected to keep Paige updated with your current next of kin or emergency contact information. By participating in the class, you authorise Paige to contact your designated emergency contact in the event of an emergency.
10A-6-B. You also agree to allow Paige to disclose any personal or medical information to emergency services if necessary, should they be called in response to an incident during the class. This authorisation ensures that appropriate medical assistance can be provided and that your emergency contact can be informed if required.
10A-6-C. Additionally, you consent to receive first aid treatment from Paige if required until emergency services arrive.
​11. Social Media, Harrassment & Bullying.​
11A-1. Paige utilises social media platforms to engage with clients, promote classes, and share updates related to the business. By participating in classes, you acknowledge and agree to the use of social media for posting updates, announcements, and promotional content about our classes, events, and other business-related topics.
11A-2. You are encouraged to interact with Paige on social media by liking, commenting, and sharing posts, as your engagement helps us build a community and keep you informed about our offerings. While we strive to respect your privacy, please be aware that any content you share publicly or engage with on social media may be visible to others. We recommend reviewing your privacy settings on social media platforms to control what information is visible.
11A-3. If you provide feedback or reviews on social media, you are responsible for ensuring that your comments are respectful and constructive. Paige reserves the right to respond to or address feedback as appropriate. Participation in or following Paige on social media does not imply endorsement or affiliation with any other individuals or entities that may be mentioned or linked.
11A-4. By engaging with us on social media, you consent to the use of these platforms as described and agree to follow our guidelines for respectful and constructive interaction.
11A-5. If you receive any negative feedback about Paige on social media, please inform us directly. We will review such feedback and take appropriate action, which may include blocking or reporting accounts as needed. However, please be aware that while we strive to address and manage negative interactions, we are limited in the extent to which we can control or remove content posted by others on external social media platforms.
11A-6. We encourage constructive feedback and aim to resolve any issues directly. Our goal is to maintain a positive and supportive community, and we appreciate your cooperation in addressing concerns respectfully.
11A-7. Harassment and Bullying
11A-7-A. If you are on the receiving end of harassment or bullying, whether online or in person, we take such matters very seriously. Please report any incidents of harassment or bullying to Paige immediately. We are committed to providing a safe and respectful environment for all participants and will take appropriate action to address and resolve these issues.
11A-7-B. If harassment or bullying occurs on social media, we will review the situation and take necessary steps, which may include blocking or reporting the offending accounts. However, please understand that while we will make every effort to address the situation, our ability to control or remove content on external social media platforms is limited.
11A-7.C. We encourage you to communicate openly with us about any concerns you may have. Your well-being and safety are our top priorities, and we will work diligently to ensure a supportive and respectful environment for everyone.
By participating in and attending the class, you confirm that you have read, understood, and agree to these terms. Your acceptance of these terms is a condition of your participation.
​Children Attending Fitness Classes Policy - These run in conjunction with the above T&C's for adults.
1. Eligibility and Age Restrictions: We offer and run fitness classes specifically designed for children of various ages. For children under the age of 16, participation in fitness classes is subject to specific guidelines and must adhere to age-appropriate classes. Before enrolling, please ensure that the class is suitable for your child's age and ability.
2. Parental Consent: Before a child can participate in any fitness class, a parent or legal guardian must complete and submit a consent form. This form must include the child's full name, date of birth, medical information, and emergency contact details. The parent or guardian must also acknowledge that they have reviewed and understood the class policies and terms.
3. Supervision and Safety: Children aged 16 and 17 may attend fitness classes but must be supervised by a responsible adult at all times. For children under the age of 16, a responsible adult must remain on the premises during the class. This adult is responsible for the child’s behaviour and well-being while attending the class.
4. Medical Information: Parents or guardians must provide any relevant medical information on the consent form, including any existing conditions, allergies, or special needs. This information will be kept confidential and used solely to ensure the safety and well-being of the child during the class.
5. Class Content and Suitability: We offer classes designed for children, tailored to their age and ability. The class content will be appropriate for the child's developmental stage, ensuring exercises are safe and suitable. Please verify that the class is appropriate for your child's age before enrolment. We reserve the right to refuse participation if the class content is deemed inappropriate for the child’s age or ability.
6. Behavioural Expectations: Children are expected to adhere to the same behavioural standards as adults. Disruptive or unsafe behaviour may result in the child being asked to leave the class. Persistent issues may lead to a review of the child's participation and potential exclusion from future classes.
7. Liability and Risk: Parents or guardians must acknowledge and accept that participation in fitness classes involves inherent risks. By giving consent, they agree to release Paige from any liability for injuries, illnesses, or damages that may occur as a result of the child’s participation.
8. Emergency Contact: Parents or guardians must provide emergency contact information and ensure they are reachable during the class. In case of an emergency, Paige will contact the provided emergency contact and take appropriate action as required.
9. Photography, Video, and Social Media: During classes, Paige may take photographs or videos for promotional purposes, including social media. By enrolling your child in a class, you consent to the use of your child's image and likeness in such media. If you do not wish for your child’s image to be used, please inform us in writing before the class. We will make reasonable efforts to accommodate your request, but cannot guarantee complete exclusion from media coverage.
10. Policy Review and Updates: This policy is subject to review and updates to comply with current UK legislation and best practices. Parents or guardians will be informed of any significant changes to the policy that may affect their child’s participation.
By enrolling a child in a fitness class, you agree to adhere to these terms and conditions along with the adults T&C's, ensuring a safe and enjoyable experience for all participants.

EVENT HOSTING
​
Booking Agreement
A 50% deposit, along with a signed Terms and Conditions agreement, is required 30 days before the booking to secure your event. The remaining 50% is due 14 days prior to the booking date. If you book within 14 days of the event, the full 100% payment will be required within 24 hours to secure your booking.
Once all monies have been paid, the booking is non-refundable. ​

Cancellation Policy
We understand that plans can change, and we strive to be as flexible as possible. To ensure clarity and fairness for both parties, our cancellation policy is as follows:
- Cancellation Notice: If you need to cancel or reschedule your event, please provide written notice at least 14 days before the scheduled date. This allows us to manage our schedule and potentially accommodate other clients.
- Cancellation Fees: Cancellations made within 0-14 days of the event will incur a fee of 50% of the agreed-upon rate. This fee covers the costs associated with reserving the date and preparing for the event.
- Rescheduling: If you need to reschedule, we will do our best to accommodate a new date. Please note that rescheduling may be subject to availability and a 25% admin charge depending on the timing and nature of the change. If you choose to cancel after this period and/or wish to reschedule for a new date a second time, an additional 25% admin fee will apply.
- Exceptions: In cases of unforeseen circumstances or emergencies, please contact us as soon as possible to discuss alternative arrangements.

Exceptions to the cancellation policy may include:
1A - Medical Emergencies: Significant health issues that prevent the event from taking place. In the event of a medical emergency that significantly impacts the ability to hold the event, such as hospitalisation, serious illness, or severe injury, we will review the circumstances on a case-by-case basis. Please provide appropriate documentation of the emergency to qualify for an exception or adjustment to the cancellation policy. We aim to work with you to find a fair solution while respecting the urgency and seriousness of the situation.
Serious Medical Emergencies Covered:
1A-1. Hospitalisation: Emergency admission to the hospital for treatment or surgery.
1A-2. Life-Threatening Illness: Conditions such as severe infections, heart attacks, or strokes requiring urgent medical attention.
1A-3. Major Surgery: Scheduled or emergency surgery that impacts the ability to participate or host the event.
1A-4. Severe Injury: Serious accidents or injuries that require immediate medical intervention or extensive recovery time.
1A-5. Critical Health Condition: Diagnosis of a critical or progressive health condition that prevents participation or hosting.
1A-6. Emergency Medical Procedures: Unforeseen medical procedures that must be performed immediately and affect event attendance.
1A-7. Death: The death of a key participant, organiser, or immediate family member that impacts the ability to proceed with the event.
Please provide appropriate documentation, such as medical certificates, hospital reports, or a death certificate, to qualify for consideration under these circumstances.

1B - Severe Weather Conditions: Extreme weather events that make it unsafe or impossible to hold the event.
Severe Weather Conditions Covered (UK):
1B-1. Flooding: Widespread or severe flooding that makes the event venue inaccessible or unsafe.
1B-2. Storms: Severe storms with high winds, hail, or heavy rain that pose a risk to safety or disrupt travel.
1B-3. Snow and Ice: Heavy snowfall or icy conditions that prevent safe travel to or from the event location.
1B-4. Extreme Heat: Unusually high temperatures that exceed safe or recommended levels for outdoor events.
1B-5. Gales: Strong gale-force winds that could damage structures or endanger participants.
1B-6. Severe Weather Warnings**: Official weather warnings or advisories issued by the Met Office indicating hazardous conditions.
Please provide relevant weather reports or official warnings to qualify for consideration under these conditions.
1C - Government Restrictions: Unexpected changes in regulations or restrictions that impact the event.
Government Restrictions Covered:
1C-1. Lockdowns: Nationwide or local lockdowns that restrict public gatherings or travel.
1C-2. Social Distancing Rules: Government-mandated distancing measures that make it impossible to host or attend the event as planned.
1C-3. Venue Closures: Mandates that force the temporary closure of event venues or public spaces.
1C-4. Travel Restrictions: Restrictions or bans on travel that prevent participants, guests, or organizers from reaching the event location.
1C-5. Event Capacity Limits: Regulations that impose limits on the number of attendees, making it impossible to proceed with the planned event.
1C-6. Quarantine Requirements: Mandatory quarantine measures affecting participants or organizers, hindering event participation.
1C-7. Health and Safety Regulations: New or updated regulations that impose additional compliance costs or logistical challenges, making the event unfeasible.
Please provide official documentation or notifications related to these restrictions to qualify for consideration under these conditions.
1D - Force Majeure: Situations beyond your control such as natural disasters, acts of terrorism, or other major disruptions.
Force Majeure Examples:
1D-1. Natural Disasters: Events such as earthquakes, floods, hurricanes, or wildfires that impact the ability to host or attend the event.
1D-2. Acts of Terrorism: Terrorist attacks or threats that disrupt the event or pose a significant safety risk.
1D-3. Pandemics: Widespread outbreaks of infectious diseases that result in travel restrictions, venue closures, or public health emergencies.
1D-4. Civil Unrest: Major protests, riots, or disturbances that affect the safety or accessibility of the event location.
1D-5. Government Orders: Unexpected and extensive governmental actions or decrees that directly impact the event, such as sudden changes in law or regulation.
Please provide official documentation or notifications related to these restrictions to qualify for consideration under these conditions.

1E - Liability for Event-Related Incidents: If Paige incurs any loss of earnings, injury, or other damages as a direct result of attending your event, you may be held liable for any resulting costs or losses. This includes, but is not limited to, medical expenses, lost income, and any other related expenses that arise due to incidents occurring at your event.

By agreeing to our services, you acknowledge and accept this cancellation policy. If you have any questions or need further clarification, please don’t hesitate to reach out.

Should Paige need to cancel the service, Paige reserves the right to do so under the same terms outlined above, and in such an event, a full refund will be provided.
